Privacy notice
How we handle your information.
What we collect, why we collect it, who sees it and how long we keep it.
This notice explains how Vantage R&D Consulting Limited uses personal information about visitors to this website, people who get in touch with us, and the people we deal with at our client companies.
Last updated: October 2026
Who we are
Vantage R&D Consulting Limited is a company registered in England and Wales (company number 12056003), with its registered office at 34 Fernwood Close, Redditch, B98 7TN. We are the “controller” of the personal information described in this notice, which means we decide how and why it is used.
We are registered with the Information Commissioner’s Office under registration number ZB111967.
If you have any question about this notice or about your information, contact us at enquiries@vantagernd.co.uk or on 01527 222173.
What we collect, and why
When you visit this website
This website does not set cookies and has no forms, so browsing it does not hand us your name or contact details.
- Visitor statistics. We use Plausible Analytics to count visits and see which pages are read. It works without cookies and does not build a profile of you or follow you across other websites. We see totals only — for example, how many people read a page — never who they were.
- Technical logs. The companies that host and deliver this website (Render and Cloudflare) process technical information such as your IP address and browser type for a short time, to deliver pages and to keep the site secure.
- Videos. Some articles include a video hosted on YouTube. The video is not loaded until you press play. When you do, it is played by YouTube (Google), which will receive your IP address and may set its own cookies; its use of that information is covered by Google’s privacy policy. If you do not press play, nothing is sent to YouTube.
We do this because we have a legitimate interest in running a secure website and understanding, in aggregate, how it is used.
When you email or call us
We keep the details you give us — typically your name, company, email address, phone number and whatever you tell us about your project — so that we can reply and, if you want us to, assess whether your work is likely to qualify. We do this because we have a legitimate interest in answering enquiries, and because you have asked us to take steps towards working with you.
When you book a project review
Bookings are made through Microsoft Bookings, which opens on a Microsoft page rather than this website. Microsoft collects the name, email address and any notes you enter and passes them to us so we can hold the meeting. Microsoft’s own privacy statement also applies to that page.
When your company is a client
To prepare and support an R&D tax relief claim we handle:
- names, job titles and contact details of the directors and staff we work with;
- information about employees whose time is included in a claim — such as role, salary, employer’s National Insurance and pension costs, and the share of their time spent on R&D;
- what people tell us in technical interviews, including interviews carried out through Cadence, the system we use to build claims;
- company financial and tax records, and correspondence with HMRC.
Much of this reaches us from the client company rather than from the individual. We use it because it is necessary to deliver the services we have been engaged to provide, and because we have a legitimate interest in preparing accurate claims and being able to defend them if HMRC asks questions.
We are also required by anti-money-laundering law to verify the identity of the people who own and run our client companies, and we keep copies of the identification we are given for that purpose.
Who we share it with
We do not sell personal information, and we do not pass it to anyone for their own marketing. We share it only with:
- HMRC, when we submit a claim or respond to an enquiry on a client’s instructions;
- Suppliers who process it on our behalf — Microsoft (email, calendar, bookings and document storage), Render and Cloudflare (website hosting and delivery), and Plausible (website statistics). Cadence runs on Render (hosting), Supabase (database and file storage), Amazon Web Services (the AI service that conducts interviews, run from its London region) and Resend (the emails Cadence sends);
- Our professional advisers and insurers, where we need their advice;
- Regulators, courts or law enforcement, where the law requires it.
Where it is held
Some of our suppliers are based, or store information, outside the United Kingdom. Where that happens we rely on a transfer mechanism recognised by UK data protection law, such as UK adequacy regulations or the contractual safeguards approved by the Information Commissioner.
How long we keep it
- Enquiries that do not lead to an engagement — 12 months from our last contact with you.
- Client records — six years from the end of the accounting period a claim relates to, so that we can support the claim if HMRC opens an enquiry and meet our own record-keeping obligations.
- Website statistics — held in aggregate only, with nothing that identifies you.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you;
- correct anything that is inaccurate or incomplete;
- delete your information, or restrict how we use it, in certain circumstances;
- stop using it where we rely on our legitimate interests;
- send it to you or to another organisation in a portable format, where that applies.
To use any of these rights, email enquiries@vantagernd.co.uk. There is no charge, and we will reply within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
